Preparing Poster Presentations

POSTER DIMENSIONS AND ORIENTATION
Poster presentations should be no larger than A0 size (840 mm x 1188 mm). Poster boards will only cater for portrait, not landscape, format.

POSTER DISPLAY BOARDS
Posters will be displayed in the room Venezia 3, close to where the coffee/tea breaks will take place. Presenting authors are responsible for mounting and removing their posters. Poster mounting is at the time of arrival. Each board that is assigned to you will be labelled with your discrete poster number. Mount your poster flat on the poster board with special double sided tape and/or pushpins, which will be provided to you at the poster service desk. Staff will be available at all times to assist poster presenters.

Posters remain up for the duration of the conference. A poster session is scheduled, on Tuesday 18 November 2014, from 17:30 to 18:30, and the presence of the presenting author is mandatory, particularly for students as a best student poster award will be awarded.

Do not fold posters: roll them up and carry them in a cardboard container. Do not e-mail a poster in advance; but bring it with you to the congress.

Authors as well as participants are encouraged to visit the poster area at all times to further discuss and exchange ideas with colleagues.

Preparing Oral Presentations

AUDIOVISUAL
Microsoft Powerpoint and Adobe Acrobat Reader (pdf file) are the only acceptable audiovisual formats for electronic presentations. Presenters cannot use overhead or slide projectors. The venue will be equipped with dedicated projectors and PC laptops.

PROVIDE YOUR ORAL PRESENTATION FOR TRANSLATION
On Wednesday 19 November and Friday 21 November, symposia and sessions in the Venezia Room will be simultaneously translated. Presenters that participate in these sessions are invited to send their presentations at least one week before the conference to facilitate translation.

UPLOADING YOUR ORAL PRESENTATION
Oral presenters will need to provide their powerpoint files for pre-loading onto the dedicated laptop either the day before or on the morning of the day of their presentation to the technician managing the projectors-laptops on the given day. Acceptable media: CDs, DVD's, Flash drives. You will need to ensure that these are compatible with our laptops - which will have CD and DVD readers, and USB ports. Your presentation will then be uploaded to the session room network and will automatically be made available in the session room at the time of your presentation. It will not be possible to run powerpoint presentations directly from a laptop in the session room.

Presentation Length

PLENARY PRESENTATIONS
Plenary session presentations will be strictly limited to 20 minutes. A 10-minute period will accommodate questions and discussion. This 10-minute period belongs to the audience, not to the speakers.

SYMPOSIUM PRESENTATIONS
Symposium presentations will be strictly limited to 20 minutes. Symposium presentations will be successive and a 20-minute period will accommodate questions and discussion at the end of all presentations.

SESSION PRESENTATIONS
Oral session presentations will be strictly limited to 15 minutes. A 5-minute period between presentations will accommodate questions, discussion, and introduction of the next speaker. This 5-minute period belongs to the audience and to the chairs of the session, not to the speakers.

An award will be given for the best oral presentation by a registered student.

TIME LIMITS WILL BE STRICTLY ENFORCED BY THE CHAIRS.

Cancellation

If circumstances prevent attendance, the author should attempt to find another speaker to present on their behalf. If cancellation is unavoidable, the author should notify the organisers as soon as possible.
